Hope everyone had a great Christmas and New year. From our Treasurer Daryl Bown I am now happy to share the Account for 2018. The Accounts have been audited successfully by a company called " Davies & Clifton Ltd" from Tamworth. Please see the attached documents:- Front Cover Accounts Dates Income & Expenditure Approval Signature Accounts Audit Invoice. I hope this is clear as we have tried to break the Income & Expenditure down a little more. This was difficult as I only took over around May 2018 so I was only able to go from Bank Statements and this was explained to the Accountant. From Jan 2019 to Dec 2019 there will be 2 x Accounts to be audited (HSBC - International & Lloyds - EBPF). These will be broken down again the best I can, the reason I say this is due to the Reference that some people put. It is important that every time they make a payment they change the Reference field and type what the payment is for so we can record/report more accurately. Please see below of some example costs and payments:- International Managers £200.00 per manager per tournament International Players £100.00 per player per tournament National Committee £200.00 per region, per season (once all paperwork is completed). There are 8 regions currently. Executive Committee £350.00 per season (once all paperwork is completed), Optional Meetings & Venue Organisation £0.30p per mile from Postcode to Postcode Seminar for committee (Fe £0.30p per mile + Accommodation if required and a buffet provided. National Tour £0.30p per mile + Accommodation Insurance £1951.48 for legal cover etc per year. These are just a few examples that have been provided to give an insight as to some of the running costs. This is before any prize money, any trophies, programmes, leaflets, wrist bands, Referees for County Finals, Super 7`s etc. I hope this helps to understand where the money that is paid in to the organisation goes to. There are times when the money goes up in the account and times when the money is low in the account. We have to try and hold a balance of around £10,000 to £15,000 so it allows us to book the sites for the County Finals & Super Sevens and arrange for purchases/maintenance to equipment. Ideally this needs to rise slightly to put us in a better position. Both of the Accounts we hold are Business Accounts - as this is what the Community/Club Accounts fall under. This basically means that they should not be operated to make profit year on year. Summary Can all County Mangers/Treasurers please pay any fees into the Lloyds EBPF Account (Sort # 30-98-97 Acc #69026568) and please make sure that the reference box is used so we can identify what the payment is for. Eg Membership, Player Fee, County Finals, Nat Tour, Taom Shootout, Super 7s, Sponsorship etc. This will allow the data to be recorded more accurately as well as making things easier/quicker. County Membership Fee must be paid by January 31st 2020. Membership Players Fees to be paid by end of April 2020. Email Regional Directors Player additions and queries so they can be recorded ASAP. LeagueAppLive updated and confirmed with RD ASAP for 2020 Season (March/April 2020). Please try and ensure ALL data is correct and spellings. Only England Internationals should use the old HSBC Account for paying their Accommodation, Clothing Requirements & Individual Singles Entries monies into. (Sort # 40-09-06 Acc #61529498) The 2018 Accounts Folder will be available at the next AGM along with Bank Statements for anyone who wishes to have a look. Hopefully the 2019 Accounts will of been audited before the AGM, and distributed via email with Agenda for County Mangers to have a look at. Again if they have been returned in time they will also be available to view. There will be a minimum of a balance sheet on show. Finally, I would like to Thank Your patients in waiting for the Accounts. The EBPF are pleased that the Accounts have been audited for our members and hopefully this is seen as a step in the right direction. Hope this helps.
